It looks like you respond email too fast.
And you should never allow customer pick up. You never know who will come and what will happen afterwards.
As I said, try to be netural when reply customer email.
If I were you:
If I received these email on Oct 21, I will not reply it until Oct 23 morning.
And after his/her email ,you waited another day to reply.
Say you will out of town, bla bla bla.
Then when you agreed on something, it's already 10.26 and money is cleared already.
