They should write a confirmation letter, showing the fact that scientist from how many countries, altogether how many candidates, how many finalists, ect. They also should write the criteria of the award, such as novelity of teh research, ect

I got a similar award as yours, asked the meeting secretary to write such letter, she asked me to make a draft and she finalized it.
