When I first started managing my emails professionally, I realized that relying only on a webmail service like Rediffmail wasn’t enough. Servers can fail, accounts can get compromised, or important emails can be accidentally deleted. That’s why I always recommend learning how to backup Rediffmail emails to a local system or another email platform.
In this guide, I’ll walk you through multiple methods that I have personally tested and found reliable — from beginner-friendly manual backups to more advanced automated solutions.
By the end of this article, you’ll know why backups are necessary, how to take them using different methods, and which approach works best for your situation.
Let’s dive in.
Before explaining the steps, I want to share why I strongly believe email exports are essential.
First, backups protect you from data loss. I’ve seen many users lose years of emails due to accidental deletion, server issues, or account suspension. Having a local copy ensures your data is always safe.
Second, security is a major concern. If your Rediffmail account gets hacked or locked, you could lose access permanently. A IMAP backup gives you peace of mind.
Third, backups make migration easier. If you ever plan to move from Rediffmail to Gmail, Outlook, or another provider, having your emails stored locally simplifies the process.
Finally, backups allow offline access. Once emails are downloaded, I can read them anytime without an internet connection.
For these reasons, I always encourage users to maintain regular backups.
This is the method I personally use and recommend for most users, especially professionals and business owners.
The first step is to enable email access settings in Rediffmail. I usually log into my Rediffmail account, go to Mail Settings, and make sure POP or IMAP access is enabled.
Next, I open Microsoft Outlook on my computer and click on File, then Add Account.
In the account setup window, I enter my full Rediffmail email address and password. Outlook then tries to configure the settings automatically. If it doesn’t, I manually enter the server details.
Once Outlook successfully connects to Rediffmail, it starts downloading all my emails to my computer. Depending on the number of emails, this process may take some time.
After everything is synced, I create a local backup file by going to File, then Open & Export, and selecting Import/Export. I choose Export to a file, select Outlook Data File, pick my Rediffmail inbox, and save it as a PST file on my computer or external drive.
At this point, I have a complete offline backup of all my Rediffmail emails.
If you don’t want to use Outlook, I often suggest Mozilla Thunderbird because it is free and easy to use.
I start by downloading and installing Thunderbird from its official website. Once installed, I open it and click on Add Account.
I then enter my Rediffmail email address and password. Thunderbird automatically detects the mail settings and asks whether I want to use IMAP or POP. I usually recommend IMAP if you want synchronization, but POP works fine for backups too.
After setup, Thunderbird begins downloading all my Rediffmail emails to my computer. I can access them even when I am offline.
If I want a separate backup, I can export emails individually as EML or HTML files, or simply copy the Thunderbird profile folder to another location for safekeeping.
This method is ideal for users who prefer free tools.
When I only need to save a few critical emails, I sometimes use the manual method.
I log into Rediffmail through my browser and open the email I want to keep. Then I click on Print and choose Save as PDF, or I simply save the email as a file on my computer.
I repeat this process for each important email.
While this method is simple, I don’t recommend it for users with hundreds or thousands of emails because it is very time-consuming.
The SysTools Rediffmail Backup Tool is a Windows-based software designed to download and backup Rediffmail emails to a local computer in multiple file formats. This email backup wizard eliminates the need for manual downloading or configuring email clients like Outlook or Thunderbird and allows bulk backup of entire mailboxes.
From my experience, the choice depends on your needs.
If you are a beginner or casual user, Thunderbird or manual backup works fine.
If you use email for work or business, I strongly recommend Outlook with a PST backup.
If you manage a large mailbox, professional backup software is the most efficient option.
Over the years, I have developed a few habits that help me keep my email data safe.
I try to take backups at least once every three to six months. If I receive important emails regularly, I do it more often.
I always store backups in at least two places, such as my laptop and an external hard drive or cloud storage.
I keep my email password strong and enable two-factor authentication whenever possible.
Most importantly, I never rely on a single backup copy.
Backing up Rediffmail emails is not just a precaution — it is a necessity. In my experience, using Outlook or Thunderbird provides the most reliable and scalable backup solution, while manual backup works for a small number of emails.
If you tell me whether you use Windows or Mac and roughly how many emails you have, I can suggest a more customized backup plan for you.
